Room modes, invitations and access
Choose who can join, what they can see and which conversation Q can use.
Collaborative, Interview, Broadcast and Client rooms are available. Their audiences and Q permissions differ.
Choose by audience
| Room | Who joins | Q and shared access |
|---|---|---|
| Collaborative | Invited, signed-in members | Shared conversation and Q; members control their own microphone and voice playback. |
| Interview | Signed-in interview team; admitted guests or viewers without accounts | Private, text-only Team Q. Guests can speak and message; viewers watch, listen and read. |
| Broadcast | Signed-in presenters; public viewers without accounts after Go live | Private, text-only Presenter Q and backstage conversation. Viewers are watch-only. |
| Client | Signed-in team; invited, admitted collaborators without accounts | Private Team Q plus a separate Shared Q conversation that the host grants per guest. |
Invite a Collaborative room member
Room invitations expire after seven days. Membership grants access to room content, including saved recordings added before you joined. Personal work is separate unless someone explicitly shares a result. Company membership does not automatically add anyone to existing rooms.
- The owner creates a room invitation and sends its link to the intended collaborator.
- The collaborator opens it and signs in with Google to accept it.
- Check that you are in the intended room before posting, sharing a result or starting a call.
Host guests deliberately
Guest sessions are bounded to eight hours from room creation. Interview guests and viewers never receive Team Q. In Client rooms, Shared Q starts off; a change in the shared audience starts a fresh shared conversation and withholds answers prepared for the previous audience.
- Create the dedicated Interview or Client room and use that room’s guest invitation controls.
- Send each guest their own invitation. Guest links are single-use and expire after one hour.
- Review the waiting guest and admit them. In Client rooms, grant Shared Q separately if you want that person to use it.
- Use the host’s End control when the session is finished. Leaving your own call is different from ending access for everyone.
Understand Shared Q in a Client room
Shared Q can use the current shared text conversation and general knowledge. It cannot read private Team Q, personal work, company sources or saved artifacts, and it does not run research, computer tools or voice replies. The host sponsors up to 100 attempts in the room and up to 20 per guest; revoking and granting access again does not reset those limits.
Go live in a Broadcast room
Broadcasts last at most eight hours from creation and allow up to 256 viewer sessions in total. That is a session limit, not a promise of tested simultaneous capacity. Room recording is available only in Collaborative rooms.
- Invite your signed-in presenters and prepare in the private backstage area.
- Check the audio, video and screens you intend to publish, then use Go live.
- Share the viewing link. Viewers can watch without an account; they cannot post questions or become speakers.
- End the broadcast when finished. A broadcast cannot be restarted after it ends.
Feature access and limits can change. Check availability and planned work.
